Email Template Customization for Swym's Default Sender

This guide explains how to use the built-in Email Editor to customize your automated email alerts. This feature allows you to control sender details, subject lines, and email content (text, colors, logos) to ensure every alert matches your store's brand.

Accessing the Email Editor

  1. From your app dashboard, go to the Marketing tab.

  2. Navigate to the specific alert you wish to customize (e.g., "Back in Stock Alerts").

  3. You will see the default email template with two buttons: "Customize" and "Send Test Email".

  4. Click the "Customize" button to open the Email Editor.

If you don’t see a customizable template, you must switch to the new customizable template to be able to edit the email content directly within the UI.

Please Note: Once you switch to the new customizable template, you will not be able to revert back to the old template. If you do not see the option to switch, contact [email protected] for assistance.

Using the Email Editor

The Email Editor is divided into two main sections:

  • Template Editor (Left) — Live preview and content editing

  • Side Panel (Right) — Subject line, sender settings, and branding controls

Subject Line (Side Panel)

You can customize the subject line for the selected alert:

  • Type any desired subject text

  • Add personalization variables to dynamically enrich the subject line, including:

    • Product Title

    • Shopper Name

    • Store URL

Sender Details (Side Panel – Global Settings)

These settings apply globally across all email alerts.

You can configure:

  • From Name — The display name shown to shoppers

  • From Email — The email address used to send the alert

  • Reply To —The email address where shopper replies should be directed

  • Email Header Logo — Store logo shown in all emails

    • Supported formats: JPG, PNG, WebP, GIF

    • Max file size: 150 KB

Branding Controls (Side Panel – Template-Specific)

Branding settings apply only to the current email template, unless you explicitly apply them globally.

You can customize:

  • Heading Font

  • Body Font

  • Email Background Color

  • Body Text Color

  • Button Style - Primary and Secondary

    • Corner radius

    • Background color

    • Label color

    • Border color

  • Footer Style

    • Footer colors and visual style

Selecting "Apply to all email templates" allows you to propagate the same branding across every alert. A confirmation modal will appear before applying.

4. Editing Email Content (Template Editor – Left Side)

The preview area allows direct content editing with live updates.

Capabilities include:

  • Click-to-edit text regions

  • Rich text formatting (bold, italics, underline, color)

  • Highlighting

  • Bullet and numbered lists

  • Instant visual preview as you make changes

Saving and Testing Your Template

  • Save: When satisfied, click Save in the modal.

  • Test: Use Send Test Email to preview how it renders in your inbox before enabling.

Using Partner Email Service Providers (ESPs)

If you require more advanced control over your email customer journeys, you can use one of our partner ESP integrations.

Note: Connecting an ESP will override the built-in sender. The Customize button will not appear, and all email templates must be managed within your ESP.

FAQs: Email Editor

  1. Why can’t I see the "Customize" button or a customizable template for my email alerts?
    This usually happens for one of two reasons: either you are still using a legacy template and need to click "Switch to New Template," or you have an external Email Service Provider (ESP) integration (like Klaviyo or Attentive) active. When an ESP is connected, Swym disables its internal editor so you can manage templates within your ESP.

  2. Can I revert to the old template after switching to the new customizable one? No. Switching to the new customizable template is a permanent change. Once you upgrade the template to use the new editor, you cannot move back to the previous version.

  3. Will my sender details (From Name/Email) update for all my alerts?
    Yes. The Sender Details (From Name, From Email, Reply To, and Header Logo) are Global Settings. Changing them in one alert template will automatically update them across all other Swym email alerts.

  4. How do I ensure my branding is consistent across all email types?
    While branding settings (colors, fonts, buttons) can be unique to each template, you can use the "Apply to all email templates" button in the side panel. This pushes your current design settings to every other Swym alert to ensure a uniform brand experience.

  5. Is there a limit to the logo file I can upload?
    Yes. To ensure your emails load quickly and don't get flagged by spam filters, the logo must be a JPG, PNG, WebP, or GIF, and the file size must be under 150 KB.

  6. Can I use dynamic information, like the product name, in the subject line?
    Yes. The editor supports personalization variables. You can insert placeholders for the Product Title, Shopper Name, or Store URL to make your subject lines more engaging and relevant to the customer.

  7. How do I change the language of the email text?
    While you can manually type in any language using the click-to-edit regions in the Template Editor, Swym has a specific guide for localization. If you are targeting multiple regions, you should consult the Editing Email Content and Changing Email Language article.

  8. What happens to these templates if I connect an ESP like Klaviyo later?
    If you connect a supported ESP, Swym’s internal email sender is overridden. Your customizations in the Swym editor will no longer be used, and you will need to recreate your templates and logic within your ESP dashboard.

  9. Can I see how the email looks on mobile before I save it?
    The Template Editor on the left side provides a live preview as you make changes. However, it is highly recommended to use the "Send Test Email" feature to see exactly how the email renders in a real inbox on both desktop and mobile devices.
